Adding a Link to a Document

The Document Manager icon allows you to upload documents to include (via hyperlinks) on your web pages.

You will first need to upload your document(s) into a new or existing folder within the system.

NOTE if you do create a new folder it is best to do this as a sub-folder to the default folder, and use a name for this that will relate directly to either the Menu Item or Page to which the contents will be linked.

It is best to upload PDFs of documents as these should be easily accessible to all users. If you do not have the facility to convert your files into PDFs before uploading them, please contact your Webmaster who will be able to assist you with this.

If you do upload documents in their native file format (eg Word or Excel) the system will download them to the user’s device to be opened from there, rather than opening them directly from the website. Not all users will have the software to be able to open these files.

Uploading Documents

Click on the Document Manager icon. In the left-hand pane of the window that opens is a folder tree. Either select a folder (or subfolder) you think suitable to add your document to, or create a new folder by right clicking an existing folder (see below) and selecting new folder, or click on the New Folder icon in the toolbar. Give your folder a name and click OK.

NOTE:
1. The folder tree comes pre-populated with folders for each Event and (Study) Group within the system. Please do not delete any of these existing folders. You will see the default folder for a Study Group or Event at the very top of the folder tree. Please use this or create a new sub-folder beneath it.
2. If you do create a new folder please use a meaningful name for this that will relate directly to either the Menu Item or Page to which the contents will be linked. The default name is ‘New Folder’. Delete this and enter the name you decide on.

Now go to your folder by clicking on it and select ‘Upload’ from the toolbar. Click ‘Select’ in the window that opens, and you will be able to navigate the folders on your device to find the image(s) you wish to upload.

Note the file extensions that are allowed, and also that the maximum file size allowed is 9.77MB. The software does not allow ‘&’ and other ‘special’ characters to be included in filenames, so if you have a problem uploading a file please try renaming it.

Having selected your document(s), click ‘Upload’ in the bottom left of the pane and details of them – filename & size - will appear in the centre pane of the window.

Once you have uploaded the document click on the file name and this will open up a window in the right-hand pane of the Document Manager, with the following fields:

This field will default to the document’s file name. Replace it with the text you wish to appear on the webpage as the hyperlink. Note that the Link Text will appear where your cursor is on the page, so make sure this is in the right place before you start.

Only the first three of these are relevant:

  • None (default) – the document will open in the Same Window when the link is clicked.
  • Same Window – the document opens in the same browser window that the user was in. In order to return to where they were the user will need to click the ‘back’ button on their browser.
  • New Window – the document opens in a new browser window, leaving the existing one open.

Tooltip


Text in this field will show when a user hovers their mouse over the link. Choosing an appropriate Link Text will mean that you can probably leave this blank.

CSS Class


This only works if a class is specified in the website stylesheet – this has to be done by the Developer.


Complete all of the relevant fields and then click Insert.

NOTE: it is also possible to insert documents using the Hyperlink icon - see Adding a Link.
